Proxy Live Solutions™ is pleased to announce an opening for the position of Office Receptionist
The Office Receptionist serves as the first point of contact for visitors, employees, and external partners, ensuring a welcoming, professional, and secure front-office environment. This role is responsible for managing visitor access, supporting administrative and facility-related processes, coordinating mail and courier services, and maintaining efficient front-desk operations. The Office Receptionist plays a key role in ensuring smooth daily office operations while upholding company policies, confidentiality, and security standards.
Key Responsibilities
Front Desk & Visitor Management
- Greet and welcome all visitors, guests, contractors, and employees in a professional and courteous manner.
- Verify visitor identity, issue visitor badges, and direct visitors to the appropriate location or contact person.
- Ensure compliance with visitor access and security procedures.
Access Management
- Manage fingerprint registration and removal processes for employees and authorized personnel.
- Register new users in the system, assist with fingerprint scanning, and update access records.
- Remove fingerprint access upon approved Jira requests and maintain accurate system records.
Mail & Courier Coordination
- Monitor incoming and outgoing post and courier services.
- Receive, sort, log, and distribute mail and packages.
- Coordinate with courier and delivery vendors as required.
- Track outgoing shipments and maintain accurate documentation.
Ticketing & Administrative Support
- Monitor the Jira ticketing system for facilities, reception, and general front-office requests.
- Create, review, and assign tickets to the appropriate responsible teams.
- Follow up on requests when necessary to ensure timely resolution.
Office & Reception Area Management
- Maintain the reception area in a clean, organized, and professional condition.
- Ensure front-office supplies, visitor logs, and signage are properly maintained and up to date.
- Support basic facility coordination related to the reception area.
Meeting Room Coordination
- Assist with meeting room bookings and preparation when required.
- Ensure meeting rooms are properly set up and equipment is functioning.
- Coordinate with relevant teams or attendees if necessary.
Documentation & Reporting
- Maintain accurate records related to visitor access, fingerprint registrations, mail logistics, and ticket assignments.
- Prepare basic reports or summaries when requested by management.
Compliance & Confidentiality
- Uphold confidentiality, professionalism, and security standards at all times.
- Handle sensitive information with discretion and ensure compliance with company policies and procedures.
Additional Duties
- Perform other administrative and front-office duties as assigned by the direct manager.
Requirements
Education
- High school diploma or equivalent required; additional administrative or office management training is considered an advantage.
Experience
- Previous experience in a receptionist, front-office, or administrative support role is preferred.
Skills & Competencies
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Professional appearance and customer-service mindset.
- Ability to handle multiple tasks in a fast-paced environment.
- Basic knowledge of office tools and ticketing systems (e.g., Jira, MS Office) is an advantage.
