About the Position

• FABRICA TRADING CO., LIMITED is an international trading company operating across Europe and Hong Kong.
• We are looking for an experienced, responsible, and solution-oriented Senior Business Operations Coordinator to coordinate our daily business operations.
• The successful candidate will follow international shipments, customs clearance, customer-related operational matters, invoices, payments, documentation, and daily workflows.
• This is not primarily a sales position. The main purpose of the role is to ensure that daily operational matters are properly followed, problems are resolved, and open tasks are completed without requiring constant supervision.

Main Responsibilities

• Follow international shipments from collection until final delivery.
• Communicate with courier companies, freight forwarders, warehouses, customs brokers, customers, and suppliers.
• Prepare and check shipping, customs clearance, invoice, and payment documents.
• Follow delayed, held, lost, damaged, or incorrectly delivered shipments.
• Coordinate import and export customs clearance processes.
• Follow customer orders, delivery updates, complaints, and operational requests.
• Maintain customer receivable and supplier payment tracking lists.
• Organize invoices and documents for external accountants.
• Coordinate daily operational tasks and follow open issues until completion.
• Prepare clear daily and weekly reports for the company owner.
• Investigate problems, recommend practical solutions, and take responsibility for following them through to completion.

Candidate Requirements

• Previous experience in business operations, logistics, freight forwarding, customs clearance, import-export, or order management.
• At least four years of relevant professional experience is preferred.
• Experience handling international shipments and customs documentation.
• Basic knowledge of invoices, payments, receivables, and accounting documentation.
• Strong organizational and problem-solving skills.
• Ability to work independently and manage several tasks simultaneously.
• Good written and spoken English.
• Good knowledge of Microsoft Excel or Google Sheets.
• Reliable computer and stable internet connection.
• Ability to work remotely during fixed working hours.
• Experience in consumer electronics, mobile phone trading, international wholesale, European logistics, or Hong Kong–Europe shipments will be considered an advantage.
